Job Description

Receptionist/Office Assistant Classification:

POSITION PURPOSE
The Receptionist/Office Assistant provides general office support with a variety of clerical activities and related tasks including answering incoming calls, directing calls to the appropriate associates and greeting visitors.
ESSENTIAL FUNCTIONS
Operate telephone to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments. Greet residents and visitors, determine nature and purpose of visit and direct or escort them to specific destinations. Receive and submit work orders for residents. File and maintain records. Distribute applications and discuss the application process with prospective residents. Receive rent payments and record receipts. Distribute late rent notices. Perform administrative support tasks, such as proofreading, transcribing handwritten information, or operating calculators or computers work with pay records, invoices, or other documents. Collect, sort, distribute, or prepare mail, messages, or courier deliveries. Process and prepare memos, correspondence, or other documents. Other tasks as assigned by the Property Manager
QUALIFICATIONS
Education/Certification:
High School Diploma or equivalent.
Required Knowledge:
Knowledge of administrative processes, MS Office programs
Experience Preferred:
Prefer at least 1 year of experience in an office setting.
Skills/Abilities:
Customer service skills, communication skills, multi-tasking, attention to detail, organization, telephone skills, flexibility, ability to work under deadlines to meet goals, confidentiality.
PHYSICAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION
Talking:
Ability to speak effectively and communicate clearly.
Average Hearing:
Able to hear average conversations.
Repetitive Motion:
The employee is regularly required to sit and type continuously throughout the day.
Finger Dexterity:
The employee is regularly required to use hands to type.
Average Vision:
Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception and ability to adjust focus.
Physical Strength:
The employee must occasionally lift and/or move up to 10 pounds.
WORKING CONDITIONS
General office environment. Quiet surroundings. Adequate lighting.
MENTAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION
Reasoning Ability:
Ability to deal with a variety of variables under only limited standardization.
Mathematics Ability:
Ability to add, subtract, multiply and divide in all units of measure using whole numbers and common fractions.
Language Ability:
Ability to read, analyze, and interpret work-related documents. Ability to communicate clearly.
