Job Description
Job Summary We are seeking an energetic and highly organized Office Assistant/Receptionist to join our dynamic team! In this vital role, you will be the first point of contact for visitors and clients, ensuring a warm and professional greeting while managing a variety of administrative tasks. Your multitasking skills, attention to detail, and friendly demeanor will help keep our office running smoothly and efficiently. Duties Welcome visitors with a friendly and professional attitude, directing them appropriately Manage multi-line phone systems, screening calls and transferring them efficiently Handle front desk responsibilities including scheduling appointments, greeting guests, and maintaining the reception area Perform data entry, filing, and document proofreading to ensure accuracy and organization Use Microsoft Office Suite and Google Workspace tools for correspondence, reports, and record keeping Assist with basic bookkeeping tasks using QuickBooks or similar accounting software Support office management by organizing calendars, managing supplies, and coordinating meetings or events Provide exceptional customer service by responding promptly to inquiries via phone or email Maintain confidentiality of sensitive information while supporting administrative operations Experience Previous office experience or clerical work is highly preferred Familiarity with multi-line phone systems and front desk operations is essential Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar) required Bilingual skills are a plus to assist diverse clients and team members Experience with QuickBooks or bookkeeping is advantageous but not mandatory Strong organizational skills with the ability to prioritize tasks effectively Excellent phone etiquette and customer support skills demonstrated through previous roles Proven ability to manage time efficiently in a fast-paced environment Personal assistant or medical/dental receptionist experience is beneficial but not required Join us in creating a welcoming environment where professionalism meets enthusiasm!
