In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your organizational skills and office management expertise will ensure smooth daily operations while maintaining a professional and positive environment. Responsibilities Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette Handle all front desk duties including scheduling appointments, managing calendars, and coordinating meetings Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office software Support office management tasks such as ordering supplies, organizing documents, and proofreading correspondence Assist with clerical duties including copying, scanning, and maintaining organized filing systems Provide customer support by addressing inquiries efficiently and professionally in both bilingual (where applicable) and monolingual contexts Experience Proven office experience or administrative background with strong organizational skills Familiarity with front desk operations and multi-line phone systems Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Experience with data entry, filing, proofreading, and general clerical tasks Customer service experience demonstrating excellent communication skills and professionalism Knowledge of QuickBooks or bookkeeping experience is a plus but not required Bilingual abilities are highly desirable to support diverse client interactions Personal assistant or medical/dental receptionist experience is advantageous for understanding specialized workflows Join us to be the friendly face that keeps our office running smoothly!
