In this role, you'll serve as a welcoming first point of contact for employees, visitors, candidates, vendors, and delivery partners while helping ensure the office runs smoothly day to day. The ideal candidate is personable, proactive, and highly organized. You enjoy creating a positive experience for others and are comfortable balancing front-desk responsibilities with a variety of administrative and office support tasks in a fast-paced environment. As a Receptionist & Office Coordinator, you'll: Serve as the primary front-desk presence and warmly greet employees, visitors, candidates, vendors, and other guests. Manage visitor arrivals, including notifying appropriate employees and assisting with check-in procedures. Help maintain a professional, welcoming, and organized reception and common-area environment. Receive, sort, and distribute incoming mail, packages, and deliveries. Coordinate with delivery drivers, couriers, and vendors as needed. Assist with ordering, receiving, and organizing office supplies and other workplace materials. Coordinate catering deliveries and assist with food and beverage setup for meetings, team events, and other office activities. Help prepare conference rooms and shared spaces for meetings and events and assist with cleanup afterward. Monitor common office areas to ensure supplies are stocked and spaces remain organized. Provide general administrative support to the team, including scheduling, document preparation, data entry, and other tasks as needed. Assist with occasional office projects, employee events, and workplace initiatives. Partner with internal teams to address day-to-day office needs and help provide a positive onsite experience. Perform other administrative and office support duties as assigned. Previous experience in a receptionist, front desk, office coordinator, administrative assistant, hospitality, or similar customer-facing role preferred Strong interpersonal and communication skills with a friendly and professional demeanor Excellent organizational skills and attention to detail Dependable and punctual, with the ability to maintain consistent onsite coverage during scheduled hours Comfortable interacting with employees, executives, candidates, visitors, vendors, and delivery personnel Ability to manage multiple priorities and respond calmly and professionally to changing needs Proficiency with common workplace tools such as email, calendars, and Microsoft Office or Google Workspace Willingness to take initiative and help wherever needed to keep the office running smoothly Ability to handle sensitive or confidential information with appropriate discretion
