ABOUT THE ROLE
As the Front Desk Coordinator, you will serve as the face and heartbeat of our practice, providing a seamless, welcoming experience for every client from the moment they call to the moment they leave. In this dynamic role, you will support the day-to-day front desk operations, lead by example in hospitality, and ensure our administrative systems run smoothly. You'll confidently guide client inquiries, book appointments and procedures, and champion the use of our CRM system (Zenoti) and payment collection systems. With a keen eye for detail and a passion for exceptional service, you'll also contribute to our social media presence, helping to communicate our values and connect with our growing community. This role requires a leader who builds trust, fosters strong relationships, and leads with both confidence and influence, creating a front desk experience that reflects the highest standards of care and connection.
CORE RESPONSIBILITIES
Leadership & Team Influence Lead by example, setting the tone for professionalism, energy, and client experience Build trust and strong working relationships across the team Provide guidance, support, and real-time coaching to front desk staff Take ownership of front desk performance, identifying opportunities for improvement and implementing solutions Foster a positive, accountable, and high-performing team environment Client Experience & Hospitality Greet all clients and visitors with warmth and professionalism Ensure a welcoming and comfortable front office environment Provide VIP-level service throughout the client journey Scheduling & Communication Answer phone calls, emails, and online inquiries promptly and effectively, and with confidence Schedule consultations, appointments, and procedures accurately Confirm upcoming appointments and manage cancellations or rescheduling Confidently guide clients through services, availability, and next steps Administrative & Front Desk Operations Supervise daily front desk workflows and ensure smooth check-in/check-out processes Maintain and update client records using the EMR system with accuracy and confidence Process payments and ensure proper documentation of charges and collections Technology System Proficiency Champion the use of EMR and practice management systems Monitor system updates and support staff with troubleshooting or training needs Marketing & Practice Support Assist in implementing and supporting social media and digital marketing efforts Collaborate with team members to promote services, events, or special offers Support occasional administrative tasks, such as supply ordering or reporting Compliance & Professionalism Maintain client confidentiality and adhere to HIPAA and office protocols Ensure all front desk procedures meet quality, compliance, and brand standards

REQUIREMENTS
Professional, confidential and mature demeanor with a polished, presentable appearance Well-rounded and able to quickly learn practice operations, technology, social media and other applicable duties Ability to set the tone for the practice with confidence, professionalism and grace Ability to remain calm, confident, and courteous under pressure 2+ years of front desk, receptionist, or customer service experience (medical or wellness setting preferred) Excellent customer service skills with outstanding phone, written and verbal communication skills Strong organizational and multitasking abilities Proficient in Microsoft Office and/or Google Workspace tools Comfortable handling payments and basic billing procedures Ability to remain calm and courteous under pressure High level of attention to detail and accuracy Strong sense of accountability and initiative Positive and upbeat personality
COMPENSATION & BENEFITS
$20/hour paid biweekly
