full-time We are seeking a professional, organized, and customer-focused Administrative Receptionist to provide front-desk, administrative, and program support within a university setting. The Administrative Receptionist will serve as the first point of contact for students, alumni, faculty, staff, employers, community partners, and visitors. This position will create a welcoming and professional environment while assisting with daily office operations, answering inquiries, scheduling, data entry, filing, and supporting departmental programs and events. Key Responsibilities Greet and assist students, visitors, faculty, staff, alumni, employers, and community partners. Answer and respond to telephone calls, emails, and general inquiries. Provide information and direct individuals to the appropriate staff member, program, or resource. Manage daily visitor flow, appointments, calendars, and scheduling. Provide general administrative and clerical support to department leadership and staff. Prepare, format, proofread, scan, copy, file, and distribute documents and correspondence. Perform data entry and maintain accurate electronic and physical records. Maintain confidential administrative records and databases. Receive, sort, and distribute mail, deliveries, and office materials. Assist with meetings, programs, events, registration, room preparation, and outreach activities. Monitor office supplies, promotional materials, equipment, and inventory. Assist with purchasing documentation, requisitions, expense tracking, and reconciliations. Prepare routine reports, summaries, presentations, and other administrative materials. Assist with special projects and departmental activities as assigned. Provide general support to student workers, interns, and volunteers. Represent the department at approved university and community events. Minimum Qualifications High school diploma required. At least 1 year of experience in administrative, reception, customer service, or program support. Strong verbal and written communication skills. Excellent customer service and interpersonal skills. Strong organizational and time-management abilities. Ability to manage multiple priorities and meet deadlines. Proficiency with Microsoft Office, including Word, Excel, Outlook, PowerPoint, and Teams . Ability to work effectively with diverse populations in a professional environment. Strong attention to detail and ability to maintain confidentiality. Preferred Qualifications Postsecondary education, training, or certification in administration, business, human resources, education, hospitality, management, social services, or a related field. Three or more years of related administrative experience, particularly within a college or university career services, student services, or experiential learning environment . Experience with systems such as PeopleSoft, Workday, Handshake , or other student/client information systems. Experience supporting events, programs, outreach, or community engagement. Familiarity with social media platforms and digital communication tools.
