In this vital role, you will serve as the first point of contact for our patients, ensuring a smooth and professional experience. Your proactive approach and excellent communication skills will help maintain an organized front office environment, support administrative functions, and provide exceptional customer service. This paid position offers an exciting opportunity to develop your office management skills while contributing to a positive workplace atmosphere. Responsibilities Greet visitors warmly and professionally, directing them appropriately and ensuring a positive first impression Manage multi-line phone systems, screen calls, take messages, and transfer inquiries efficiently Maintain appointment calendars for Physician using tools like Google Workspace or Microsoft Office Handle data entry tasks, including filing, updating records, and managing electronic databases with accuracy and attention to detail Support office management activities such as organizing supplies, maintaining cleanliness of the reception area, and overseeing general clerical duties Assist with bookkeeping tasks using QuickBooks or similar software to support financial recordkeeping Provide customer support by addressing inquiries promptly and courteously, whether in person or via phone or email Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Must have billing experience Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Demonstrated experience in office management or administrative roles with clerical experience preferred Exceptional phone etiquette skills for handling multi-line phone systems confidently Experience in customer service or customer support roles that require patience and professionalism Knowledge of medical receptionist procedures is a plus but not required; relevant personal assistant experience is beneficial Ability to type quickly with high accuracy; familiarity with proofreading and data entry tasks is advantageous Strong time management skills to prioritize tasks efficiently throughout the day We value dedicated professionals eager to deliver outstanding service while supporting our office operations seamlessly!
