This is a part-time position that reports to the parish Office Administrator.
GENERAL SUMMARY
: This position serves as the first point of contact for those coming to our office. They should have good communication skills, be organized, be able to multitask and perform duties such as taking messages, answering phones, greeting visitors and be able to perform general secretarial/administrative duties.
PRINCIPLE DUTIES AND RESPONSIBILITIES
1.
Greeting Visitors:
Welcome visitors in a friendly way and direct them to the appropriate person. 2.
Answering phone calls:
Answering and forwarding phone calls, screening calls and taking messages for the managers and clergy when needed. 3.
Maintaining the reception area:
Keeping the reception area clean and tidy. 4.
Managing office supplies:
Taking inventory of front desk office supplies, restocking as needed and alerting the business manager of what needs to be ordered. 5.
Handling Mail and deliveries:
Receiving, sorting, and distributing mail and package deliveries. 6.
Providing information:
Answering questions and providing basic information to visitors in person, by phone, or by email. 7.
Maintaining Records:
Some of the following record keeping will be assigned to each front desk position: keeping parishioner records updated in Parish soft, maintaining spreadsheets of parking renters, Mass intention records, sacramental records and fulfilling sacramental record requests. 8. Performing basic clerical tasks of photocopying, filing, faxing, printing. 9.
Ensuring office security:
follow basic safety procedures and control access to the building. 10.
Personal presentation:
maintain a clean, neat, and modest appearance. 11. Secures the closing of the office: Ensures all appropriate doors are locked, lights and front office coffee pot turned off.
KNOWLEDGE, SKILLS, ABILITY
Education:
Minimum requirements are a high school diploma or equivalent.
Experience:
Computer Skills, experience with Microsoft or Google Suite, and Gmail. Knowledge of the Catholic Faith.
Require:
Must be a practicing Catholic, must be able to maintain confidentiality, must be able to work independently once trained.
Physical Demands:
While performing duties must be able to sit for long periods of time at the front desk, use hands in repetitive motion tasks, and answer telephone calls. The position requires some standing, stooping, and bending. Must be able to lift 15 pounds. Employees are expected to work onsite.
