We are seeking an organized, detail-oriented, and compassionate Office Administrator to serve as the backbone of our operational team. As the first point of contact for clients, families, and caregivers, you will ensure the office runs smoothly, maintain regulatory compliance, and support our care delivery mission.Key Responsibilities:
Office Support:
Answer phones, greet visitors, manage incoming/outgoing mail, and maintain office supplies.Intake & Referrals:
Handle initial intake calls from potential clients and referral sources, gathering necessary information with empathy and professionalism.Client & Caregiver Records:
Maintain accurate, up-to-date Electronic Medical Records (EMR) and personnel files, ensuring HIPAA compliance.Scheduling Support:
Assist the scheduling team with last-minute changes, call-outs, and ensuring caregivers are properly matched with clients.Compliance:
Ensure all documentation meets state, federal, and agency regulations.Qualifications Experience:
Minimum 1-2 years of experience in an supporting administrative role, preferably in home health care, hospice, or senior care. Background in caregiving, homecare, or healthcare support (Required)Education:
High School Diploma or GED required; Associate degree preferred.Technology Skills:
Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable learning new scheduling/EMR software (e.g., AlayaCare, WellSky, AxisCare).Soft Skills:
Exceptional communication skills, high empathy, patience, and the ability to multitask in a fast-paced environment.Reliability:
