In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a positive and professional experience from the moment they walk through the door. Your energetic approach and excellent organizational skills will help maintain smooth office operations, manage communications efficiently, and support various administrative functions. Responsibilities Greet visitors warmly, verify appointments, and direct them appropriately to ensure a welcoming atmosphere Manage multi-line phone systems with professionalism, answering inquiries promptly and routing calls accurately Handle incoming and outgoing correspondence, including emails, mail, and packages with attention to detail Maintain organized filing systems, data entry records, and office supplies inventory to support daily operations Schedule appointments, coordinate calendar management, and assist with basic administrative tasks using Microsoft Office and Google Workspace tools Support office management duties such as proofreading documents, maintaining cleanliness of the reception area, and assisting with clerical tasks like photocopying and faxing Provide exceptional customer support by addressing inquiries efficiently and ensuring a positive experience for all visitors and callers Requirements Proven experience in office reception or administrative support roles with strong clerical skills Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and data entry software Strong organizational skills with the ability to multitask effectively in a busy environment Exceptional phone etiquette with experience managing multi-line phone systems Bilingual abilities are highly desirable to serve diverse client needs effectively Experience with QuickBooks or bookkeeping is a plus for handling basic financial transactions Prior experience in medical or dental receptionist roles or as a personal assistant is advantageous but not required Demonstrated time management skills with the ability to prioritize tasks efficiently Join our team where your enthusiasm for customer service combined with your administrative expertise will make a meaningful impact every day.
