Job Description

We are seeking a professional, dependable, customer-focused Receptionist to join our downtown Grand Rapids team. As the first point of contact for clients, visitors, and callers, this position plays a key role in creating a welcoming, professional experience. The Receptionist manages the front desk, answers and directs incoming calls, coordinates appointments and closings, assists with documents and correspondence, and provides general administrative support to help keep the office running smoothly. The ideal candidate is organized, approachable, dependable, and comfortable balancing customer service with administrative responsibilities. What You'll Do Greet clients, visitors, and other guests in a warm and professional manner. Answer incoming telephone calls and direct callers to the appropriate team member. Receive, sort, and distribute incoming and outgoing mail, faxes, and emails. Complete E-recording documents and distribute or mail documents to the appropriate parties. Schedule and coordinate closings with clients and other parties involved in real estate transactions. Maintain open communication with team members regarding potential client leads, questions, and concerns. Monitor office supplies and place orders as directed by the manager. Maintain a clean, organized, professional front desk and reception area. Assist with general administrative and office support as needed. Maintain regular and predictable attendance. Maintain reliable transportation as required to perform the responsibilities of the position. What We're Looking For Strong customer service skills and a professional, welcoming demeanor. Excellent verbal and written communication skills, including the ability to communicate professionally in both positive and challenging situations. Strong attention to detail and the ability to follow instructions accurately. Dependable, reliable, and able to manage multiple responsibilities throughout the workday. Ability to maintain the privacy and confidentiality of company, client, and employee information. Ability to read, understand, and work with business related documents. Computer Skills Experience with Microsoft Office (Outlook, Word, Excel) and comfort working in multiple systems daily. Ability to accurately enter, review, and retrieve information in company systems, including document management platforms. Ability to learn new software quickly and troubleshoot basic issues (password resets, printing, scanning, PDF tools). Education and Experience High school diploma or equivalent required. At least one year of experience in a receptionist, administrative assistant, customer service, or similar role is preferred. An equivalent combination of education and relevant experience will be considered.
