Job Description

Trinity Lutheran Church (tlcmidland.org), aligned to the Evangelical Lutheran Church in America (ELCA.org), is a dynamic community of faith with 1200 members that actively welcome, witness, and invite all people in the name of Jesus Christ. The person in this position serves as a member of the office administration team and has the important role of being the first point of contact to welcome anyone entering the church facility. This staff member handles a wide range of receptionist tasks, including greeting members and visitors, answering general questions, providing directions to meeting rooms and/or staff offices, answering phones, responding to e-mails, scheduling meeting rooms and other activities on the church calendar, updating the Kiosk with the schedule of events, and assisting other staff members with special projects or other short-term tasks as needed. In addition this staff member serves as the initial contact point during emergencies (contacting 911 as needed), manages and monitors the automatic door security schedule and closes and secures the facility each evening. This is a part-time, hourly position at 20 hours/week with standard working hours 4 to 8 PM Monday - Thursday and 8:30 AM to 12:30 PM on Sundays. Responsibilities Monitor the church calendar for awareness and understanding regarding meetings and activities expected to occur during the shift. Update the Kiosk with the schedule of daily events as needed. Welcome members and visitors entering the church in a professional manner - answering general questions and providing directions to requested meeting rooms and/or staff offices as needed. Answer the main church phone line and provide a response or forward on to other staff members as appropriate. Monitor the main church e-mail and provide a response or forward on to other staff members as appropriate. Schedule meeting rooms and other activities on the church calendar as requested using established procedures. Support printing of weekly worship bulletins as needed - coordinating with other office staff in case printing was completed during the day shift. Initiate and support emergency response efforts as needed (i.e., calling 911, directing EMTs within the church, etc.). Write detailed incident reports for any security incidents that occur while on shift. Monitor and/or adjust the automatic door security schedule. Close and secure the facility at the end of the evening (turn off lights, make sure the main office door is locked and exterior doors are secured, etc.). Assist other staff members with special projects or other short-term tasks as requested and as time allows.
Requirements Education:
High School diploma or equivalent required. Additional certifications in emergency response, such as CPR or First Aid, are a plus.
Previous Experience:
1-2 years of previous security or receptionist experience is preferred.

Communication Skills:
Articulate speaking, active listening, and professional writing are vital for handling visitors, phone calls, and emails effectively. Demonstrate proficiency in basic office procedures and the ability to answer questions regarding basic policies and procedures.
Multitasking:
Able to manage multiple phone lines, greet guests, and perform administrative duties simultaneously without becoming flustered (calm under pressure). Demonstrate effective time-management skills with the ability to prioritize tasks based on stated deadlines.
Organization and Prioritization:
Manage calendars, and prioritize urgent tasks (e.g., booking appointments, responding to inquiries) to maintain a smooth workflow.
Technical Proficiency:
Proficient in office computer software applications, including Microsoft Office (Outlook, Word, Excel, PowerPoint, etc.), phone systems, and calendar software. Have a basic knowledge of other relevant design and/or computer software (training provided). Proficient in using established techniques and office procedures, references, materials and equipment.
Teamwork:
Able to relate to people in a pleasant and friendly manner (i.e., greeting congregation members and visitors). Must have proven ability to work effectively and harmoniously with others.
Making Decisions:
Able to work independently, including making sound decisions in response to emergencies or other security events. Considers alternatives and possible consequences before making decisions. Knows when to seek help with a problem resolution.
Discretion:
Able to maintain strict confidentiality regarding church records and members of the congregation.
Pay:
From $15.00 per hour
