Job Description

Job Overview The Front Desk Coordinator serves as the point of contact for our patients as soon as they walk through the doors of the Royal Oak Surgery Center. She/he will greet/welcome patients, answer the telephone, directs telephone calls as needed, collect/maintain patient information according to HIPPA compliance. Maintain efficient check-in and check-out process for patients. The position requires knowledge of dental terminology and the ability to communicate this terminology to the patient's family. Responsibilities Supports the mission, vision, and values of the organization Comply with organizational policies, regulatory and accreditation standards, and professional guidelines Participates in facility committees, meetings, in-services, and activities Assist with improving the quality of care provided to patients and patients family's Greet and welcome patients Answer any questions as well as address any concerns patients and patients' families may have Registers appropriate data for patients (insurance, demographics, etc.) Assist patients/ patients' family in filling out forms (consents, insurance documents, payment documents, etc.) Pulls and prepares patients charts and prepares daily schedule for office/dental staff Understand insurance coverage and if unsure seek correct information Follow-up on "no shows" patients and add-on patients for the day Collects co-pay and balances on patient accounts Answer incoming calls and redirect accordingly Receive mail, packages, faxes, etc. and direct them as needed Prepare outgoing mail by drafting correspondence Check, sort, and forward emails Maintain a safe environment for patients and their families; comply with HIPPA training and maintenance Maintain inventory of office supplies used, report stock when low Keep front area/waiting room clean and organized Responsible for keeping patient restroom clean and stocked as needed Offering a comforting environment for patient and their families Coffee maker stocked and clean Quiet environment Chairs/floors clean/presentable Kleenex, masks, hand sanitizer available to patients and families Acknowledging and aiding when patients and their family need transportation aid; they will be the ones to contact and set up transportation Keep track of the daily schedule and appointment times with patients and the staff (dental assistants, dentists, registered nurses, and anesthesiologists) Qualifications Proven experience in dental office or healthcare administration with familiarity in dental clinic operations Strong background in medical office experience including EMR/EHR systems such as Dentrix, Eaglesoft, or eClinicalWorks Able to work individually and as a team member Little supervision needed to accomplish tasks Exhibit professional interpersonal and communication skills with other members while keeping a friendly environment Ability to prioritize work in needs of the flow of the facility Ability to meet deadlines and follow instructions Multi-tasking abilities Excellent organizational skills Use of translation resources when needed Excellent communication skills with proficiency in medical/dental terminology and medical/dental records management Ability to handle sensitive information discreetly while maintaining high levels of professionalism Join us as a Dental Administrator to lead our practice toward excellence!
