Job Description

Job Summary We are seeking an energetic and highly organized Front Desk Receptionist to be the welcoming face of our office. This vital role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily operations. The ideal candidate will possess excellent communication skills, be proficient with office management tools, and thrive in a fast-paced environment. Duties Greet visitors, clients, and staff with professionalism and enthusiasm, ensuring a positive first impression. Manage multi-line phone systems, directing calls efficiently and courteously while providing accurate information or transferring as needed. Handle incoming correspondence, including emails and mail, and distribute appropriately. Maintain a clean, organized reception area and ensure all office supplies are stocked and accessible. Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office tools and Google Workspace. Perform data entry, filing, and proofreading tasks to support administrative operations with accuracy. Assist with basic bookkeeping using QuickBooks or similar accounting software for invoicing or expense tracking. Support office management activities such as organizing documents, managing office equipment, and ensuring compliance with company policies. Provide customer support by addressing inquiries promptly via phone or in person while demonstrating excellent phone etiquette. Support additional administrative tasks including typing reports, managing client records, and supporting personal assistant duties when required. Qualifications Proven experience in office management, clerical work, or as a receptionist in a professional environment. Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills. Excellent organizational skills with the ability to multitask effectively in a busy setting. Exceptional customer service skills combined with professional phone etiquette. Bilingual abilities are highly desirable to assist diverse clientele effectively. Experience working with multi-line phone systems and handling front desk responsibilities preferred. Knowledge of QuickBooks or bookkeeping experience is a plus. Previous dental or medical receptionist experience is advantageous but not required. Strong time management skills with the ability to prioritize tasks efficiently. Personal assistant experience or calendar management skills are beneficial for supporting executive needs.
