Job Description

Job Summary:
The receptionist is expected to provide the highest level of customer service and care. This is to be done by answering phones, scheduling appointments, answering client questions, pulling patient charts/paperwork, checking clients in and out, and accepting payments. A receptionist will maintain a professional appearance and always behave in a professional manner, speak clearly and slowly for clients to understand, and relay reliable information to clients as directed by the veterinarian and/or veterinary technicians. If any problems arise, the receptionist should report to the front-end manager immediately.
Duties and Responsibilities:
    Client Services:
    o Provide superior customer service o Greet customers and handle them with patience and respect throughout the check in process o Assist clients with forms as needed, whether paper or electronic o Be aware and communicate with clients about delays as they occur o Taking, answering, and directing phone calls, addressing each in a professional manner with a positive attitude, and in a timely fashion
    • Coordinate Patient Flow o Schedule appointment on the phone, through text/apps and as clients check out o Help maintain proper and efficient client flow and organization within the practice o Document reason for visit and related history - including all client communications o Prepare all necessary paperwork including medical record documentation, check-in sheets, surgery consent forms, etc.
    o Inform technicians of patients waiting for appointments o Inform clients of their account balances and process payments according to hospital policy
    • Records Maintenance o Update client files with each visit, including phone number, address, and name o Check patient reminder status in computer for completeness and accuracy on all patients
    • Work Area Maintenance o Dust, clean and organize reception area and large animal pharmacy daily o Ensure exam rooms are cleaned between each patient o Maintain and stock retail displays o Keep magazines and client brochures current, well stocked and organized o Prepare end-of-day closing and reconciliation sheet along with a deposit sheet, and update cash box
    • Staff Assistance o Provide support and assistance to veterinarians, practice manager, technicians and kennel staff as necessary Schedule Monday - Friday 7:45a-5p
    Pay:
    $18.00 - $22.00 per hour
