Job Description

Element Dermatology is looking for a welcoming, organized, and service-driven Client Coordinator to join our aesthetic team. In this role, you'll be the first face our guests see — managing appointments, delivering a seamless check-in and check-out experience, and ensuring every interaction reflects warmth and professionalism. Job Responsibilities:
1. Client Service Responsibilities Serve as the first and last point of contact for every guest, managing check-in, check-out, scheduling, and follow-up communications with professionalism and efficiency. Perform accurate guest registration and master EHR and practice management platforms to streamline daily operations. Actively listen to guest concerns, respond to feedback, and escalate issues to the Medical Director when appropriate to ensure timely resolution. Retain guests through consistent follow-up protocols, treatment recalls, and a thorough knowledge of all services and products offered. 2. Administrative Coordination Responsibilities Ensure accurate data collection and maintain the integrity of guest records throughout registration and check-in. Clearly communicate pricing, package options, and financial responsibilities to guests in a transparent and professional manner. Process retail transactions, gift card purchases, and package sales, and manage supply inventory levels, alerting management when orders are needed. 3. Team & Operational Responsibilities Adhere to all healthcare regulations and organizational policies, including HIPAA, to ensure guest confidentiality and regulatory compliance. Collaborate with providers and staff to maintain seamless daily operations, and proactively communicate scheduling conflicts, system issues, or guest concerns to management. Participate in team meetings, support new staff development, and engage in ongoing professional development to stay current with aesthetic industry trends. Contribute to a collaborative, respectful team culture and demonstrate integrity and discretion in all guest and team interactions. Additional duties may be assigned at the discretion of practice management. Role Requirements High school diploma or equivalent (Associate's degree or certification is a plus). Previous experience in medical reception, healthcare, or customer service preferred. Strong interpersonal, communication, and organizational skills with the ability to multitask accurately in a fast-paced environment. Proficiency in computer systems. Ability to multitask. Ability to work independently and effectively under the direction of leadership and providers. Physical Requirements Ability to sit, stand, and perform repetitive tasks for extended periods. Ability to manage moderate physical demands, including handling light to moderate lifting of office equipment or supplies. Ready to Apply?
