Job Summary We are seeking an energetic and detail-oriented Front Office Coordinator to join our dynamic team. In this vital role, you will be the welcoming face of our company, managing front desk operations, coordinating appointments, and providing exceptional customer support. Your organizational skills and positive attitude will help ensure smooth daily operations and foster strong client relationships. Work days hours will be 9am to 5pm Monday through Friday. With Seasonal Hours on Saturday. Responsibilities Greet visitors, clients, and vendors warmly, ensuring a professional first impression. Manage multi-line phone systems with courteous phone etiquette, directing calls efficiently. Schedule appointments, maintain calendars, and coordinate service visits using office management software. Handle data entry tasks such as filing, record keeping, and updating customer information accurately. Support administrative functions including proofreading documents, managing correspondence, and organizing files. Assist with bookkeeping duties using QuickBooks or similar accounting tools to track invoices and payments. Provide excellent customer service by addressing inquiries promptly and supporting client needs effectively. Experience Previous office management or administrative experience in a professional setting. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace. Familiarity with multi-line phone systems and office equipment. Bilingual abilities are highly valued to serve diverse clientele. Experience in clerical tasks such as data entry, filing, proofreading, and calendar management. Knowledge of customer support best practices and phone etiquette. Prior experience as a receptionist or personal assistant is advantageous.
