In this vital role, you will serve as the welcoming face of our spa, ensuring every guest receives exceptional service from the moment they arrive. Your energetic and friendly demeanor will help create a relaxing, professional atmosphere while efficiently managing appointments, client inquiries, and administrative tasks. This position offers an exciting opportunity to contribute to a serene environment where health, beauty, and customer satisfaction are prioritized. Duties Greet guests warmly upon arrival and assist with check-in/check-out procedures to ensure a smooth experience Manage appointment scheduling using multi-line phone systems and computer software, including calendar management tools Maintain accurate client records through data entry, filing, and updating electronic databases Answer inquiries via phone and in person with professional phone etiquette, providing detailed information about services and promotions Coordinate with therapists and staff to optimize daily schedules and ensure timely service delivery Handle administrative tasks such as proofreading forms, managing office supplies, and supporting bookkeeping activities using QuickBooks or similar software Support overall office management by organizing files, maintaining cleanliness of the reception area, and assisting with clerical duties as needed Walk clients through services. Skills Proven experience in front desk operations with excellent organizational skills Strong proficiency in computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace, and data entry tools Exceptional customer service skills with the ability to communicate effectively in bilingual settings if applicable Knowledge of multi-line phone systems and phone etiquette to handle high call volumes professionally Experience with office management tasks such as filing, proofreading documents, calendar management, and bookkeeping Ability to multitask efficiently while maintaining attention to detail in a fast-paced environment Personal assistant experience or administrative experience that demonstrates time management and organizational prowess Join us to be part of a vibrant team dedicated to wellness and relaxation!
