Manage multi-line phone systems, directing calls efficiently and professionally while maintaining excellent phone etiquette. Handle scheduling tasks such as calendar management and appointment setting using Microsoft Office and Google Workspace tools. Perform data entry, filing, and document proofreading to maintain accurate records and support office operations. Support office management duties including supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software. Provide customer support by addressing inquiries, assisting with administrative requests, and ensuring a positive experience for all visitors. Maintain a tidy reception area and ensure all front desk equipment is functioning properly. Requirements Proven office experience or clerical experience demonstrating strong organizational skills and attention to detail. Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Excellent communication skills with strong phone etiquette; bilingual abilities are a plus. Experience with multi-line phone systems, data entry, filing, proofreading, and general administrative tasks. Ability to manage time effectively while handling multiple priorities in a fast-paced environment. Knowledge of office management procedures; experience in medical or dental receptionist roles is advantageous. Personal assistant or calendar management experience is preferred; familiarity with bookkeeping software such as QuickBooks is a bonus.
