This vital role involves managing front desk operations, providing exceptional customer service, and supporting office management functions. The ideal candidate will demonstrate excellent communication skills, organizational prowess, and a proactive attitude to ensure smooth daily operations. Duties Greet visitors, clients, and staff with professionalism and warmth, creating a positive first impression. Answer multi-line phone systems promptly and courteously, directing calls efficiently to the appropriate departments or personnel. Manage appointment scheduling and calendar coordination using digital tools such as Google Workspace or Microsoft Office. Assist with office management tasks including supply inventory, mail distribution, and maintaining a tidy reception area. Support customer service efforts by addressing inquiries, providing information, and ensuring client satisfaction. Utilize computer skills for various clerical duties such as typing reports, updating databases like QuickBooks or other office management software, and supporting bookkeeping activities. Experience Prior office experience or administrative support roles are highly preferred. Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Experience in customer service or customer support environments that require excellent phone etiquette and interpersonal skills. Familiarity with multi-line phone systems and office management procedures is advantageous. Bilingual abilities are a plus to effectively communicate with diverse clients and team members. Strong organizational skills with attention to detail in tasks such as data entry, filing, proofreading, and calendar management. Previous experience as a receptionist in medical or dental settings is beneficial but not required; training will be provided for specific industry needs.
