Overview We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors and callers, ensuring a positive and professional experience. Your enthusiasm, organizational skills, and ability to manage multiple tasks efficiently will help create a smooth and inviting environment for clients, staff, and guests alike. Responsibilities Greet visitors warmly, verify appointments, and direct them appropriately within the office Answer multi-line phone systems promptly and professionally, directing calls or taking messages as needed Manage appointment scheduling and calendar coordination using tools like Google Workspace or Microsoft Office Handle data entry, filing, and document proofreading to maintain accurate records and correspondence Support office management tasks including supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software Maintain a tidy reception area, ensure office supplies are stocked, and assist with clerical duties such as copying, scanning, and organizing files Provide excellent customer support by addressing inquiries with professionalism and courtesy while demonstrating strong phone etiquette Qualifications Proven experience in office administration, clerical work, or as a receptionist in a professional environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently Bilingual abilities are highly desirable to serve diverse client needs Previous experience with multi-line phone systems, customer service roles, or medical/dental receptionist duties is preferred Attention to detail in proofreading documents and managing records accurately Personal assistant or office management experience is a plus; familiarity with bookkeeping software like QuickBooks is beneficial Join us to be part of a vibrant team dedicated to delivering exceptional service while advancing your administrative career.
