Filing Measurables:
  • Provide excellent and personable customer service to guests that visit IBHS facilities.
  • Exemplify IBHS values and philosophy through communications.
  • Maintain confidentiality at all times.
  • Maintain an appropriate and professional physical appearance.
  • Complete all initial and annual training including CPR and First Aid, Onboarding, EdApp and ongoing training.
  • Answer the main IBHS phone line with hospitality.
  • Check and send messages to individuals as needed.
  • Check faxes daily and send them to the appropriate person(s).
  • Check referral email and give referrals to appropriate person(s).
  • Add referrals to IBHS Master List(s).
  • Schedule assessments including Initial Diagnostic Interviews and Reassessments if needed.
  • Ensure referrals are complete and request additional information as needed.
  • Check for valid release of information before releasing confidential information via phone, email, fax and in person requests.
  • Attend and participate in All Staff meetings.
  • Complete meeting minutes in All Staff meetings and other meetings as requested.
  • Complete audits on inventory.
  • Check, sort and disperse mail to appropriate programs and person(s).
  • Organize and notify programs of incoming deliveries/packages.
  • Submit transportation receipts for gas to the Finance Department.
  • Upload current consumer collateral information as received by outside sources to KIPU.
  • Document and notify the Chief Quality Assurance Officer of any complaints.
  • File attendance sheets and agency minutes.
  • Respond to referral sources and/or give a list of alternative providers upon request.
  • Complete OIG reports monthly, quarterly, and as needed.
  • Help complete
DHHS APS/CPS
background checks and file in personnel files.
Roles and Responsibilities:
  • Responsible for providing exemplary customer service to all individuals making contact with IBHS facilities.
  • Ensure business functions are carried out through managing communication systems.
  • Ensure all referrals are complete and responded to in a timely manner.
  • Provide support to the Executive Leadership Team.
  • Assist in maintaining compliance related to Medicaid guidelines.
  • Ensure all incoming mail/packages are disbursed properly and timely.
  • Maintain a clean and tidy reception/waiting area for guests.
Qualifications and Education Requirements:
  • Must have a GED or High School Diploma.
  • Must have experience in customer service.
  • Must have knowledge of First Aid and CPR certification.
  • Demonstrate strong written and oral communication skills.
  • Illustrate proficiency in computer skills, especially using Word, Excel and customized databases.
  • Ability to work in and adapt to the culture of a multi-cultural, community-based organization.
  • Commitment to maintain confidentiality.
  • Understanding of the Agency's mission and culture and the ability to maintain appropriate boundaries with staff and clients in all circumstances.
  • Employment contingent upon successful completion background checks.
  • Good interpersonal skills, ability to relate well with persons from a variety socioeconomic and cultural groups.
  • Ability to lift supplies up to 25 lbs.
to waist height.
