Job Description

We are seeking a friendly, dependable, and detail-oriented Front Desk Associate to join our medical team. The Front Desk Associate is often the first and last point of contact for our patients and plays an important role in creating a welcoming, professional, and efficient experience. This position is responsible for greeting and checking in patients, answering phones, verifying insurance information, coordinating referrals, assisting with medical records requests, and providing general administrative support to the clinical team. The ideal candidate is organized, compassionate, comfortable working in a fast-paced medical environment, and able to communicate professionally with patients, providers, insurance companies, and other healthcare organizations. Key Responsibilities Greet patients and visitors warmly and professionally while providing excellent customer service Check patients in and out accurately and efficiently Answer and manage multiple incoming phone calls using professional phone etiquette Schedule and coordinate patient appointments according to clinic guidelines Verify patient demographics, insurance coverage, and other necessary information Obtain and process insurance cards, referrals, authorizations, and other required documentation Contact referring providers' offices regarding patient referrals, records, and other necessary information Follow up on referrals and assist with ensuring patients have the appropriate documentation prior to their appointments Assist patients with questions regarding appointments, paperwork, referrals, and general clinic processes Process requests for medical records and coordinate records received from outside healthcare providers Scan, upload, organize, and maintain patient documentation accurately within the electronic medical record Maintain accurate patient information and protect patient confidentiality in accordance with HIPAA requirements Collect copays and other applicable patient balances while following established clinic procedures Assist with general front office duties, including filing, faxing, copying, scanning, and maintaining an organized reception area Work closely with clinical and administrative staff to ensure smooth patient flow and daily clinic operations Demonstrate professionalism, patience, and compassion when working with patients who may be experiencing pain or other medical concerns Perform other administrative duties as needed to support the clinic and patient care team Qualifications Previous experience in a medical office, healthcare, front desk, customer service, or administrative position preferred Excellent customer service and communication skills Professional and courteous telephone etiquette Strong attention to detail and accuracy Ability to multitask and prioritize responsibilities in a busy medical office Comfortable working with computers and electronic medical records Experience with insurance verification, referrals, medical records, or prior authorizations is a plus Ability to maintain patient confidentiality and handle sensitive information appropriately Strong organizational and time-management skills Ability to work effectively as part of a team Dependable, punctual, and professional Ability to remain calm and courteous when dealing with difficult or frustrated patients Previous experience with medical terminology is preferred but not required What We're Looking For We are looking for someone who genuinely enjoys helping people and being part of a team.
