Job Summary:
The Administrative Assistant serves as the first point of contact for clients and plays a vital role in supporting the daily operations of a mental health practice. This position requires strong organizational skills, professionalism, and the ability to maintain confidentiality while providing compassionate and efficient administrative support.
Key Responsibilities:
Answer incoming phone calls, respond to inquiries, and direct calls appropriately.

Greet clients in a warm, professional manner and assist with check-in/check-out procedures.

Schedule, confirm, and manage client appointments using the practices scheduling system.

Conduct initial phone intakes and assist with scheduling consultations.

Verify insurance benefits and eligibility, and communicate coverage details to clients.

Maintain accurate client records and ensure all documentation is complete and up to date.

Process payments, co-pays, and maintain billing records as needed.

Manage email correspondence and respond to client inquiries in a timely manner.

Coordinate communication between clinicians and clients as needed.

Ensure the office environment remains organized, welcoming, and confidential.

Assist with general administrative tasks such as filing, scanning, and data entry.
Qualifications:
High school diploma required; associates degree preferred.

Previous administrative or front desk experience, preferably in a healthcare or mental health setting.

Knowledge of insurance verification and medical billing processes preferred.

Strong communication and interpersonal skills.

Excellent organizational and multitasking abilities.

Ability to maintain strict confidentiality and adhere to HIPAA guidelines.

Proficiency in Microsoft Office and/or electronic health record (EHR) systems.
Preferred Skills:
Experience with mental health practice management systems.

Ability to handle sensitive situations with empathy and professionalism.
