JOB SUMMARY
Performs administrative and clerical support in an assigned department. Provides assistance to department managers and staff in administrative areas. This is an entry level administrative role.
MAJOR DUTIES AND RESPONSIBILITIES
1. Answers phone calls and directs them to appropriate department or person. 2. Greets visitors, ascertains nature of business, provides information or conducts visitors to the appropriate person. 3. Ensures that all office equipment is functional and orders any needed supplies. 4. Maintains the inventory of office supplies. Orders, obtains and distributes office supplies. Keeps supply area appropriately stocked. 5. Assists department managers and staff in handling multiple administrative functions and projects. 6. Copies and distributes staff reports as requested, as well as sorts and distributes mail, faxes, and other office materials as required. 7. Type letters, correspondence, reports and other documents as requested. 8. Assists the office staff as requested with special projects or tasks. 9. Maintains files and records for the office as requested. 10. Arranges meetings, conferences, and travel arrangements as requested. 11. May assist with medical record functions such as: patient admission packets, entering data in computer system, scanning of documents, filing of paperwork, off-site storage, etc. 12. Performs other related duties as directed by supervisor.
SKILLS AND ABILITIES
Excellent verbal and good written communication skills. Advanced level of multi-tasking and problem-solving skills. Moderate computer skills including MS Office (Word and Excel), Windows Outlook, and Internet. Moderate level of interpersonal skills to interact effectively and professionally with both internal and external customers. Ability to lift 30 pounds. General knowledge of modern office procedures, filing, telephone techniques and office equipment.
EDUCATION AND/OR EXPERIENCE
High school diploma or equivalent. Some college course work preferred. Minimum one-year experience in medical industry preferred.
