Job Description

Job Overview We are seeking an energetic and highly organized Spa Coordinator to join our dynamic wellness team. In this vital role, you will serve as the welcoming face of our spa, ensuring seamless operations from appointment scheduling to guest support. Your enthusiasm and attention to detail will help create a relaxing, efficient environment where clients feel valued and cared for. The ideal candidate is proactive, bilingual in english and spanish, and possesses excellent communication skills to manage multiple responsibilities with confidence and professionalism. Responsibilities Greet guests warmly upon arrival, providing exceptional customer service and guiding them through their spa experience Manage appointment bookings using multi-line phone systems, online scheduling platforms, and calendar management tools Coordinate with therapists and staff to ensure smooth scheduling, including last-minute adjustments and special requests Handle all front desk duties such as answering inquiries, processing payments, and maintaining accurate records with computer literacy tools like Microsoft Office and Google Workspace Maintain cleanliness, organization, and proper filing of client records, treatment logs, and administrative documents Oversee office management tasks including data entry, filing, proofreading documents, and bookkeeping using QuickBooks or similar software Ensure adherence to phone etiquette standards while providing prompt support for customer questions or concerns Experience Previous office or administrative experience in a customer service setting, preferably within a wellness or hospitality environment Strong organizational skills with the ability to multitask efficiently in a fast-paced setting Proficiency in computer skills including Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), data entry, and basic bookkeeping software like QuickBooks Excellent communication skills; bilingual abilities are highly desirable for serving diverse clientele Experience with front desk operations, multi-line phone systems, and clerical tasks such as proofreading and filing Knowledge of office management practices including calendar management, time management techniques, and personal assistant responsibilities Demonstrated ability to provide outstanding customer support while maintaining professionalism and positive attitude Join us to be part of a vibrant team dedicated to delivering exceptional wellness experiences.
