We are seeking a reliable, personable, and highly organized Front Office Support Staff member to support the daily operations of our administrative office. As the first point of contact for staff, callers, and visitors, this role is vital to maintaining the professionalism and warmth of our organization. The Front Office Support Staff member performs a wide range of reception and administrative support duties to ensure smooth daily operations within the agency's administrative office. This position requires strong communication skills, attention to detail, and the ability to collaborate effectively with staff across multiple departments. This is a Part-Time opportunity that will be scheduled approximately 20 hours per week. Provide administrative support to ensure smooth daily operations within the office, serving as the first point of contact for visitors and staff. Adapt to evolving work assignments, work collaboratively across departments, and carry out duties with accountability and professionalism. Offer personable and professional assistance to callers, clients, and on-site visitors. Direct calls to the appropriate office, employee, voicemail, or email; take and relay messages as needed. Provide phone coverage for other offices as necessary. Manage office supply inventory for the corporate office and coordinate ordering for other locations as directed by managers. Oversee postal procedures, including mail pickup and delivery at the local post office, maintaining the postage machine, sorting mail for all offices, and preparing outgoing mail for delivery to other locations. Support administrative functions such as filing, data entry, copying, and scanning Coordinate with administrative staff to support daily workflow. Assist with light document typing and editing for the Administrative team. Collaborate with supervisor and administrative staff to problem-solve concerns and identify resolutions. Coordinate with vendor to ensure copier/print/fax equipment is operating properly. Scan billing documents from mail and fax communications for the remote Billing Department. Support special projects for Contracts, HR, and Development teams. Protect client confidentiality and ensure adherence to all agency policies and procedures Perform other duties as assigned. High School Diploma or a minimum of three years' experience in a counseling office environment Strong computer literacy, including proficiency with Microsoft Office Suite Excellent phone etiquette and customer service skills to handle client and staff inquiries effectively Ability to organize one's own work and time effectively, and manage multiple tasks efficiently while maintaining attention to detail Professional demeanor, reliability, and a commitment to client confidentiality Join us in making a difference by providing exceptional front desk support that enhances client experiences and supports our mission of community well-being.
