Job Description

Overview We are seeking an energetic and professional Front Desk Receptionist to be the welcoming face of our organization. This vital role involves managing front desk operations, providing exceptional customer service, and supporting office management tasks to ensure a smooth and efficient workplace environment. The ideal candidate will be highly organized, tech-savvy, bilingual (preferred), and possess a friendly demeanor that fosters positive interactions with visitors, clients, and team members alike. Duties Greet visitors warmly, verify appointments, and direct them appropriately Manage multi-line phone systems with professionalism, ensuring prompt and courteous responses Handle incoming calls, screen inquiries, and transfer calls efficiently using proper phone etiquette Maintain a clean, organized front desk area and manage office supplies inventory Schedule appointments, manage calendars, and coordinate meetings using Google Workspace or Microsoft Office tools Perform data entry, filing, and proofreading tasks to support administrative operations Assist with basic bookkeeping using QuickBooks or similar accounting software when needed Support office management by handling clerical tasks such as copying, scanning, and document preparation Provide customer support by addressing inquiries promptly and professionally in person or via phone/email Support medical or dental reception duties as applicable, including patient check-in/out and insurance documentation Skills Proven experience in office management or administrative roles with strong clerical skills Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Familiarity with multi-line phone systems and phone etiquette standards Bilingual abilities are highly desirable to serve diverse client needs effectively Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively Typing speed with accuracy for data entry and correspondence tasks Attention to detail for proofreading documents and maintaining accurate records Customer service expertise with a friendly attitude that enhances visitor experience Experience in medical or dental receptionist roles is a plus but not required Knowledge of bookkeeping software such as QuickBooks or basic financial record keeping is advantageous Join us in creating a welcoming environment where professionalism meets efficiency!
