Job Description

Overview We are seeking an energetic and highly organized Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a positive and professional experience. Your proactive approach, exceptional communication skills, and ability to manage multiple tasks efficiently will help create a smooth-running front office environment. This paid position offers an exciting opportunity to develop your administrative and customer service skills while supporting daily office operations. Duties Greet visitors warmly and direct them appropriately, maintaining a professional and friendly demeanor at all times Manage multi-line phone systems, answer inquiries promptly, and transfer calls accurately using proper phone etiquette Handle incoming and outgoing correspondence, including emails, mail, and packages with attention to detail Maintain organized filing systems, data entry records, and ensure all documents are properly proofread and filed Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and teams Support office management tasks such as supply inventory and maintaining office equipment Assist with clerical duties including typing reports, verifying insurance policies prior to appointments, scanning in insurance cards, Id's and new patient paperwork. Experience Prior office experience or administrative support roles demonstrating strong organizational skills and multitasking ability Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and data entry skills Experience with multi-line phone systems and phone etiquette in a professional setting Bilingual abilities are preferred to serve diverse client needs effectively Knowledge of office management practices such as filing systems, calendar management, and record keeping Customer service experience that showcases excellent communication skills and a friendly attitude Familiarity with clerical tasks such as proofreading, data entry, bookkeeping (QuickBooks), and general administrative responsibilities Join us in delivering exceptional service while supporting our vibrant team!
