Job Description

Position Summary We are seeking a friendly, organized, and customer-focused Communication Specialist to join our veterinary hospital team. This role combines front desk reception and call center responsibilities and serves as a vital link between our clients, patients, and medical team. The ideal candidate will be the first point of contact for clients both in person and over the phone, providing exceptional customer service while managing appointments, client communications, patient records, and administrative tasks in a fast-paced environment. Key ResponsibilitiesClient Service & Communication Greet clients and visitors in a friendly, professional manner. Assist clients with check-in and check-out procedures. Answer incoming phone calls promptly and courteously. Respond to client emails, messages, and inquiries in a timely manner. Provide information regarding hospital services, policies, procedures, and preventive care recommendations. Address client concerns and direct questions to the appropriate team members when necessary. Appointment & Schedule Management Schedule, confirm, and manage appointments using the hospital management software. Inform clients of appointment requirements and preparation instructions. Handle appointment cancellations, rescheduling, and follow-up visits. Assist with coordinating patient flow throughout the hospital. Client & Patient Records Maintain accurate client and patient records. Prepare and organize patient files for appointments and consultations. Document client communications and maintain communication logs. Collect and process payments for services rendered. Administrative Support Support hospital operations through filing, data entry, inventory assistance, and other administrative tasks. Maintain a clean, organized, and welcoming reception and waiting area. Provide educational materials and information regarding wellness plans, preventive care, and hospital services. Collaborate with veterinarians, technicians, and support staff to ensure excellent patient care and client service. Participate in staff meetings and training sessions as required. QualificationsEducation High school diploma or equivalent required. Additional training or certification in customer service, veterinary assistance, or a related field is preferred. Experience Previous experience in customer service, reception, call center operations, or a veterinary/healthcare setting is preferred. Skills & Attributes Excellent verbal and written communication skills. Strong customer service and interpersonal abilities. Proficiency with computers and scheduling software. Strong organizational and multitasking skills. Ability to remain calm, professional, and compassionate in stressful situations. Genuine passion for helping people and caring for animals. Work Environment Frequent interaction with clients, patients, and hospital staff. Ability to sit or stand for extended periods. Ability to occasionally lift up to 30 pounds. Flexible schedule, including weekends and holidays, may be required based on hospital needs. $14.00 - $15.00 per hour
