Role:
The Receptionist in our manufacturing company serves as the first point of contact for visitors, clients, and employees, ensuring a welcoming and professional environment. This role is pivotal in managing front desk operations, including handling incoming calls, scheduling appointments, and coordinating communication across departments. The Receptionist will also support general accounting tasks, contributing to the accuracy and organization of financial records. By efficiently managing administrative duties and facilitating smooth office operations, this position directly supports the overall productivity and professionalism of the company. The ideal candidate will balance excellent interpersonal skills with attention to detail in accounting processes to enhance both customer experience and internal workflows.
Minimum Qualifications:
High school diploma or equivalent. Proven experience in a receptionist or administrative role, preferably within a manufacturing or industrial setting. Basic knowledge of general accounting principles and practices. Proficiency in Microsoft Office Suite, especially Excel and Word. Strong communication and organizational skills.
Preferred Qualifications:
Associate degree or certification in accounting, business administration, or related field. Experience with accounting software such as QuickBooks or SAP. Familiarity with manufacturing industry operations and terminology. Ability to multitask and prioritize in a fast-paced environment. Customer service training or certification.
Responsibilities:
Greet and assist visitors and clients promptly and courteously, providing information and directing them to the appropriate personnel or departments. Manage multi-line phone systems, respond to inquiries, and route calls efficiently to ensure effective communication. Perform general accounting tasks such as processing invoices, maintaining financial records, and assisting with expense tracking to support the finance team. Schedule and coordinate meetings, appointments, and company events, ensuring all logistical details are handled accurately. Maintain the reception area and office supplies, ensuring a clean, organized, and professional environment.
