We are seeking a Receptionist / Administrative Assistant with excellent administrative skills who wants to join our team supporting our management and accounting team. The ideal candidate will be highly organized with strong attention to detail. They will be flexible with the ability to multi-task in a busy and friendly work atmosphere. Office/Clerical duties
  • Ability to work independently while processing multiple priorities
  • AP / AR account documents
  • obtain / update COI, ST-120, andW-9 forms as required
  • AR invoice creation and contract billing
  • Email AR invoices and statements on daily/monthly schedules
  • Handle clerical tasks such as data entry, filing, maintaining accurate records to support administrative functions for multiple companies
  • Manage day-to-day office operations including but not limited to receiving deliveries, multi-line phone system to ensure seamless communication
  • Match invoices with vendor statements for payment processing
  • Monitor and maintain multiple emails accounts
  • Prepare outgoing mail
  • Process and post all AP invoices/credits
Skills:
  • Ability to process written and other materials visually
  • Ability to receive detailed information through oral communication
  • Carry out complex tasks with concrete and abstract variables
  • Exceptional attention to detail with commitment to high level of accuracy required
  • Proficiency in accounting software such as QuickBooks and Infinity for basic financial tasks
  • Proven experience in administrative role with accounting experience preferred
  • Requires good decision making, time management and communication skills
  • Strong computer literacy including data entry, proofreading, filing systems, and general office technology use
  • Strong proficiency in Microsoft Office Suite (Word, PowerPoint, Access, Excel) skills are essential
  • Work as part of a team to create a positive, professional and productive work environment
