Job Description

Job Summary We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills to create a welcoming environment for clients, visitors, and team members alike. Duties Greet visitors and clients warmly, providing professional and friendly assistance at the front desk Manage multi-line phone systems efficiently, directing calls to appropriate departments or personnel Schedule appointments, manage calendars, and coordinate meetings using tools like Google Workspace and Microsoft Office Handle data entry tasks with accuracy, including filing, record keeping, and updating databases such as QuickBooks or other office management software Support office operations by managing incoming and outgoing correspondence, proofreading documents, and maintaining organized filing systems Assist with bookkeeping tasks such as invoicing, expense tracking, and basic financial recordkeeping Provide exceptional customer service by addressing inquiries promptly and professionally, both in person and via phone or email Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Strong organizational skills with the ability to multitask effectively in a busy environment Excellent phone etiquette with experience managing multi-line phone systems Bilingual abilities are a plus to serve diverse client needs Proven clerical experience with data entry, filing, proofreading, and document management Knowledge of office management practices including calendar management and time management strategies Experience as a dental or medical receptionist is advantageous but not required; personal assistant experience is also valued Familiarity with bookkeeping software such as QuickBooks and basic bookkeeping principles Demonstrated ability to provide outstanding customer support and maintain professionalism under pressure Join us to be the friendly face of our organization while supporting vital administrative functions!
