In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your organizational skills and office management experience will ensure smooth daily operations, creating a positive first impression and supporting the overall efficiency of our office environment. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a dynamic team. Our office has 5 part-time providers and we see about 160 patients a week. Duties Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support skills Schedule appointments accurately and coordinate calendars (varying doctor schedules, ZocDoc bookings, etc.) Handle data entry, filing, and document proofreading to maintain accurate records and organized files Utilize office software such as Google Workspace for correspondence, reports, and administrative tasks Support office management by organizing documents and maintaining a tidy reception area Confirm patient insurance eligibility for the following business day Communicate patient financial responsibility for specialist office visits accurately Field patient questions and direct them to the appropriate staff member (medication management, procedure inquiries, billing concerns) Requirements Proven experience as a receptionist in a fast-paced environment Strong computer literacy with proficiency in Google Workspace tools Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently Bilingual abilities are highly desirable to serve diverse client needs Previous experience with multi-line phone systems, data entry, filing, and proofreading is preferred Knowledge of customer service principles and phone etiquette to create positive interactions Experience in medical or dental reception is a plus; familiarity with medical or dental office procedures is advantageous Personal assistant or administrative support experience can enhance your application Ability to handle confidential information discreetly while maintaining professionalism at all times
