Job Description

Job Summary We are seeking a professional and friendly Bilingual/Receptionist/Legal Assistant to join our team. This role is critical to the firm's operations due to the responsibility for managing the office's multi-line phone system. Additionally, the ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service and administrative support. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
MINIMUM 5 YEARS LAW OFFICE EXPERIENCE IS REQUIRED.
Responsibilities Communication:
Notifying attorneys, staff, clients, and opposing counsel of schedule changes, court orders, or rulings.
Conflict Resolution:
Identifying and resolving scheduling conflicts for multiple attorneys in a fast-paced environment.
System Maintenance:
Updating the firm's internal case management systems (e.g., SmartAdvocate) and creating spreadsheets to track case progress. Greet and welcome visitors in a courteous and professional manner. Answer phone calls, providing information and directing inquiries to the appropriate personnel. Manage scheduling and appointments efficiently, ensuring optimal use of time for staff and clients. Maintain accurate filing systems and ensure all documents are organized and easily accessible. Perform proofreading of documents to ensure clarity and correctness before distribution. Provide administrative support including data entry, managing correspondence, and maintaining office supplies. Handle customer service inquiries with professionalism, addressing concerns promptly and effectively. Assist with various clerical tasks as needed to support office operations. Experience Must have at least THREE years experience handling HEAVY phone system. Bilingual Spanish a MUST. Experience with
SMART ADVOCATE
is preferred. Strong computer literacy with proficiency in Microsoft Office Suite , NYSCEF, eCourts, eLaw, Slack and Ring Central. Excellent phone etiquette and communication skills are essential for effective customer interaction. Experience in customer service or support roles is highly desirable. Ability to work independently while also being a collaborative team player.
