This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. Duties Greet visitors, clients, and vendors warmly, providing professional customer service at all times Manage multi-line phone systems, directing calls accurately and courteously Maintain a clean, organized front desk area and manage incoming/outgoing mail and packages Schedule appointments, coordinate calendars, and assist with meeting arrangements Perform data entry, filing, and document proofreading to ensure accuracy and completeness Utilize office software such as Microsoft Office, Google Workspace, and QuickBooks for various administrative tasks Support bookkeeping activities including invoicing, expense tracking, and basic financial record keeping Assist with office management duties like supply inventory checks and equipment maintenance Provide clerical support including copying, scanning, and preparing reports or presentations Handle confidential information with discretion and professionalism Requirements Proven experience in office administration or reception roles with strong clerical skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Familiarity with QuickBooks or similar accounting software is a plus Excellent organizational skills with the ability to prioritize tasks effectively Strong phone etiquette skills and experience managing multi-line phone systems Bilingual abilities are highly desirable to serve diverse client needs Demonstrated customer service experience with a friendly, professional demeanor Ability to type quickly with high accuracy; attention to detail is essential Previous experience in medical or dental receptionist roles is advantageous Knowledge of office management procedures including filing systems and data entry processes Strong time management skills to handle multiple responsibilities efficiently Join us as a Receptionist/Administrative Assistant to be the welcoming face of our organization while supporting our daily operations!
