Job Overview We are seeking a dynamic and organized Secretary/Receptionist to be the welcoming face and administrative backbone of our team. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service. Your proactive approach will ensure smooth office management, efficient communication, and a professional environment that reflects our commitment to excellence. Responsibilities Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Operate multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support skills Manage appointment scheduling and calendar coordination for staff and executives using Google Workspace or Microsoft Office tools Handle data entry, filing, and document proofreading to maintain accurate records and organized files Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software Assist with clerical duties including typing correspondence, managing emails, and maintaining office databases Provide personal assistant support as needed, including travel arrangements, meeting preparations, and time management tasks Requirements Proven office experience with strong organizational skills and attention to detail Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Prior experience in clerical roles or customer service positions demonstrating effective communication skills Bilingual abilities are highly desirable to serve diverse client needs effectively Familiarity with multi-line phone systems, data entry, filing procedures, and basic bookkeeping (QuickBooks preferred) Strong phone etiquette coupled with exceptional customer support capabilities Ability to manage multiple tasks efficiently while maintaining professionalism under pressure Personal assistant or office management experience is a plus but not required; a proactive attitude is essential Join us in creating a welcoming environment where professionalism meets energetic service!
