Job Description

Job Summary We are seeking a detail-oriented and organized Office Assistant to support our administrative team. The ideal candidate will be responsible for managing front desk operations, handling correspondence, and providing exceptional customer service. This role requires strong computer skills, proficiency in office management software, and the ability to multitask efficiently in a fast-paced environment. Bilingual abilities and experience with medical or dental reception are a plus. The Office Assistant plays a vital role in maintaining smooth office operations and ensuring a positive experience for clients and staff alike. Responsibilities Greet visitors and manage front desk duties with professionalism and courtesy Answer multi-line phone systems, route calls appropriately, and handle inquiries with excellent phone etiquette Manage calendar appointments, schedule meetings, and coordinate calendar management tasks Perform data entry, filing, and document proofreading to ensure accuracy and organization Utilize Microsoft Office Suite, Google Workspace, QuickBooks, and other office management tools for daily tasks Support bookkeeping activities including basic invoicing and record keeping Assist with customer support by addressing client questions and resolving issues promptly Maintain organized files both digitally and physically to facilitate easy retrieval of information Provide administrative support such as typing correspondence, managing emails, and supporting office projects Handle clerical duties including photocopying, scanning, and mailing documents as needed Requirements Proven experience in office management or administrative support roles Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills Experience with QuickBooks or bookkeeping is preferred Excellent organizational skills with the ability to prioritize tasks effectively Strong communication skills, both verbal and written; bilingual abilities are highly desirable Previous experience working at a front desk or as a receptionist in medical or dental offices is a plus Knowledge of multi-line phone systems and phone etiquette standards Ability to handle confidential information discreetly and professionally Strong typing skills with attention to detail for proofreading and document accuracy Familiarity with office equipment such as printers, scanners, and fax machines Personal assistant or calendar management experience is advantageous This position offers an opportunity to be an integral part of a dynamic team while developing valuable administrative skills in a professional environment.
Pay:
$20.00 - $25.00 per hour
