Overview We are seeking a dedicated and professional Receptionist/Administrative Assistant to join our dynamic team. This role is vital in ensuring smooth daily operations by providing exceptional front desk support, administrative assistance, and customer service. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive approach to office management. Responsibilities Greet visitors and clients warmly, maintaining a professional and welcoming front desk presence. Manage multi-line phone systems efficiently, directing calls and taking accurate messages as needed. Perform data entry, filing, and document proofreading to ensure accuracy and organization of records. Coordinate appointment scheduling and calendar management for staff or executives using various digital tools. Support office management tasks such as supply inventory, mail distribution, and maintaining office cleanliness. Provide customer support by addressing inquiries promptly via phone or email, demonstrating excellent phone etiquette. Utilize computer skills including basic bookkeeping software like QuickBooks to facilitate daily operations. Assist with clerical duties such as copying, scanning, and organizing documents to streamline workflow. Maintain confidentiality of sensitive information while delivering high-quality administrative support. Contribute to a positive office environment through effective communication, organization, and time management. Experience Previous office experience in a receptionist or administrative role is required; experience in medical or dental reception is a plus. Demonstrated proficiency with multi-line phone systems, calendar management, and data entry tasks. Strong computer literacy with familiarity in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic bookkeeping tools such as QuickBooks. Proven customer service skills with an emphasis on professionalism and courteous communication. Experience in clerical tasks including proofreading, filing, and document organization is essential. Knowledge of office management practices combined with excellent organizational skills will contribute to success in this role.
