Overview We are seeking a dynamic and organized Secretary/Receptionist to join our team! This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills, ready to create a welcoming environment for visitors and support the office with efficiency and professionalism. Duties Greet visitors warmly, manage the front desk, and direct them appropriately Operate multi-line phone systems, answer inquiries, and route calls with professionalism and courtesy Maintain organized filing systems, handle data entry, and ensure accurate record keeping Manage calendar appointments, schedule meetings, and coordinate personal assistant tasks as needed Support office management activities including bookkeeping with QuickBooks and basic bookkeeping tasks Assist with customer support by addressing inquiries promptly and providing exceptional service Prepare correspondence, proofread documents for accuracy, and perform general clerical duties such as photocopying and filing Requirements Proven office experience with strong clerical skills and familiarity with office management procedures Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook) and Google Workspace tools Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently Strong phone etiquette skills; experience handling multi-line phone systems is preferred Bilingual abilities are highly desirable to serve diverse client needs effectively Demonstrated ability to perform data entry accurately and efficiently under tight deadlines Personal assistant experience or calendar management skills are a plus Knowledge of QuickBooks for bookkeeping tasks is advantageous Exceptional attention to detail for proofreading documents and maintaining accurate records Join us in creating a vibrant office environment where your organizational talents shine!
