Job Description
Essential Functions/Job Duties:
Reasonable accommodations may be made to enable individuals with disabilities to perform the following essential functions: 1.Front Office Operations and Administrative Support:
Operate office equipment and systems, including computers, scanners, copiers, phones, voicemail, and scheduling software. Answer and direct telephone calls, take messages, manage calendars, and schedule appointments. Open, sort, route, and prepare incoming and outgoing mail and correspondence. 2.Client Intake, Support, and Communication:
Greet clients and visitors, review key information, and notify appropriate staff of arrivals. Complete client intake and onboarding documentation with clients or referral sources. Copy insurance cards, client identification, collect payments, and process related documentation. Conduct reminder calls, reengagement contacts, care coordination, and feedback outreach. Communicate professionally with clients, coworkers, and external contacts to answer questions, provide information, and address concerns. 3.Technology and Functional Skill Proficiency:
Demonstrate functional knowledge of job duties and maintain competency with technology related to office, intake, and scheduling functions. Use agency software systems and common office applications accurately and efficiently. Exhibit adequate administrative, organizational, and communication skills required for the role. 4.Professionalism, Collaboration, and Mission Alignment:
Demonstrate professionalism, courtesy, and respect in all interactions with clients, visitors, and staff. Work collaboratively, take initiative, and assist coworkers as needed to meet operational goals. Communicate effectively in writing and verbally; listen empathetically and share information appropriately. Comply with agency policies and procedures while supporting the agency's mission, core values, and community relationships.Qualifications:
Education:
High School Diploma or GED Experience:
No experience required; some administrative experience preferred.License and Insurance:
Valid Driver's License and Car Insurance Core Competencies:
Ability to assess customer needs, deliver quality service, and evaluate satisfaction while maintaining a clientcentered approach. Understanding of administrative procedures, agency policies, and standard operating systems and workflows. Knowledge of HIPAA Privacy and Security Rules and applicable federal, state, and agency requirements for confidentiality and information protection. Strong written and verbal communication skills, including document comprehension, clear information sharing, active listening, and emotional awareness. Proficient use of agency software systems, electronic equipment, and common office and business applications. Ability to identify complex issues, analyze information, weigh costs and benefits, apply logical reasoning, and implement effective solutions.
