Full-Time (January-April) | Part-Time (May-December) About the Role Pro31 Tax Services is seeking an organized, personable, and detail-oriented Administrative Assistant / Office Manager to join our team. This position serves as the first point of contact for our clients and plays a critical role in maintaining smooth daily office operations. As the client concierge, you will help create a welcoming and professional experience while supporting tax preparation, payroll services, client communications, and administrative functions. The ideal candidate thrives in a fast-paced environment, enjoys working with people, and can effectively manage multiple responsibilities. Key Responsibilities Manage day-to-day client interactions, including scheduling appointments and collecting information needed for tax return preparation. Prepare client mailings and correspondence. Perform basic data entry within tax preparation software. Assemble completed tax returns and manage client portals. Process payroll for payroll-service clients. Prepare and file payroll-related forms and reports. Generate client invoices and record payments received. Prepare bank deposits and maintain accurate records. Work closely with our in-office Financial Advisor by: Managing schedules and appointments. Preparing basic client paperwork. Handling client communications and follow-up. Qualifications Required Skills & Experience Strong interpersonal and customer service skills. Excellent organizational and time-management abilities. Ability to multitask and prioritize responsibilities effectively. Strong computer skills, including proficiency in Microsoft Word and Excel. Flexible and adaptable in a fast-paced environment. Self-motivated with a willingness to learn and take on a variety of tasks. Preferred Qualifications Experience with QuickBooks (training available). Payroll processing experience (training available). Familiarity with financial services, retirement plans, or investment-related administrative work. Benefits Paid vacation. Paid holidays.
