About the Role We are looking for a friendly, and highly organized Front Desk Coordinator to be the welcoming face of our practice. As the first point of contact, you will be setting the tone for each patient's experience. The ideal candidate is a team-oriented individual that will manage the front desk operations and offer administrative support, while providing top-notch customer service that contributes to a smooth daily flow within the office. Duties Answer phones professionally and greet patients and visitors warmly; efficiently managing the check-in and check-out processes. Schedule and manage appointments through our practice management software, while also utilizing our patient engagement/communication platforms. Accurately calculate, collect and post patient payments and co-pays. Handle incoming and outgoing correspondence through e-mail with attention to detail. Maintain organized systems and patient records, ensuring accurate data entry, strictly adhering to HIPAA guidelines to ensure patient privacy and confidentiality. Manage office supplies and place orders for clinical supplies through coordination with the clinical team. Participate in monthly team meetings and special projects as they arise. Provide occasional back office support to the clinical team. Requirements Minimum of one year experience in a dental office setting with strong familiarity of dental terminology and procedures. Strong computer skills, including proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry software. Basic bookkeeping skills and familiarity working in patient ledgers to accurately calculate and post patient payments. Knowledge of Dentrix practice management software is a plus! Excellent phone etiquette with experience managing multi-line phone systems in a professional setting Bilingual abilities are highly desirable to serve diverse client needs effectively. Exceptional organizational skills with the ability to prioritize tasks and manage time efficiently Ability to handle confidential information discreetly while maintaining accuracy in proofreading and record-keeping. Excellent interpersonal and communication skills required. Team work is essential to the success of our small but mighty practice! Ability to commit to a Monday-Thursday work schedule.
