Job Description

Overview We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and staff, ensuring a positive and professional experience. Your energetic approach and excellent organizational skills will help maintain smooth office operations, manage multi-line phone systems, and provide exceptional customer service. This paid position offers an exciting opportunity to develop your administrative expertise in a fast-paced environment that values proactive communication and attention to detail. Duties Greet visitors warmly and direct them appropriately, ensuring a professional first impression. Manage multi-line phone systems with courteous phone etiquette, screening and directing calls efficiently. Handle incoming correspondence, including emails, mail, and packages, with accuracy and promptness. Maintain appointment calendars and schedule meetings using Google Calendars and Google Workspace. Perform data entry, filing, and proofreading tasks to support office management and record keeping. Assist with clerical duties such as photocopying, scanning, and organizing documents. Support office management activities by coordinating supplies, managing office equipment, and ensuring a tidy workspace. Provide customer support by addressing inquiries promptly and professionally in person or via phone or email. Utilize computer literacy skills to update databases, prepare reports, and manage administrative tasks efficiently. Demonstrate excellent time management to prioritize tasks effectively in a busy environment. Experience Prior office experience or administrative experience is preferred but not required; enthusiasm for learning is key. Strong organizational skills with the ability to multitask in a fast-paced setting. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Excellent communication skills with a focus on phone etiquette; bilingual abilities are a plus. Familiarity with multi-line phone systems, data entry, and filing procedures. Experience in customer service or customer support roles enhances your ability to connect with visitors and clients effectively. Knowledge of Real Estate receptionist duties is beneficial but not mandatory; training will be provided for specific industry needs. Personal assistant or calendar management experience can help streamline scheduling responsibilities.
