Job Description

Job Description Overview A non-exempt full-time hourly employee under the supervision of the Director of Operations; responsible for performing office clerical duties to support the functions of all township departments. This position is responsible for receiving office visitors and phone calls and answering all questions in a professional manner or referring to the appropriate department. Receives and handles complaints effectively and tactfully. This position is also responsible for all permit intake and routinely assists other township employees on an as needed basis. Duties and Responsibilities
  • Receives office visitors and answers telephone calls, refers callers to proper personnel, records complaints, and responds to routine questions by providing the appropriate information.
  • Greeting visitors, directs visitors by maintaining employee and department directories, giving instructions.
  • Receives phone calls, and assist with permits and sewer applications, explaining requirements and fees.
  • Collect money for zoning, code inspections, planning, engineering, and on-lot septic system fees.
  • Works with Finance Department in reconciliation of fees retrieved from cash, checks and future credit card use for permits and land development deposits.
  • Process and track zoning permits, plans and prints and maintain filing system. Issues completed permits to the public. Proctors permit systems and scan new information.
  • Retrieves plans for developers, realtors, tax assessors, salespeople, residents, businesses, etc.
  • Maintain computer records for zoning, subdivision and land development purposes.
  • Responsible for issuance of permits and record keeping for Township's yard waste facility.
  • Manages departmental documents.
  • This includes creating files, filing documents electronically and manually, and utilization of the Township's property management software.
  • Assist with daily accounting activity for all zoning, permit and land development fees received.
  • Enter data and compile reports to show statistics such as permits and other items pertinent to the operation of business.
  • Maintain computer records for permits and produce reports on a quarterly and yearly basis.
  • Maintain coordination with Third Party Inspections agencies.
  • Verify SEO'S payments and monthly report calculations.
  • Assist with the Right to Know Officer in providing information for the request.
  • Assist in the development of future changes in the permit formats.
  • Maintain Escrow accounts for land development.
  • Provides overall clerical duties to support all township departments and other duties as assigned. Working Relationships Interacts with administrative and professional staff, all township callers and visitors, businesses, non-profits as well as elected and appointed officials. Working Environment
  • Responsibilities are handled in the township administrative office and frequently involve interaction with residents and visitors.
  • Activities require sitting, standing, walking, bending and stooping as well as ability to handle light lifting.
Qualifications Experience working in customer service with excellent organizational, written and verbal communication skills. The ability to adapt to changing priorities and provide clerical support for multiple departments. High School Diploma or GED; or any equivalent combination of training and experience in municipal government. Must have a minimum of two (2) years administrative and customer service experience
  • Must possess computer skills, primarily in Microsoft Word, Excel, Adobe, and Outlook.
  • Employee must possess knowledge of Business English, spelling and general clerical processes.
  • Must have considerable skill in typing. Ability to type forms, bills, reports, and to perform other clerical tasks.
  • Ability to establish and maintain effective working relationships with other employees. A valid Pennsylvania Driver's license Schedule
  • Monday - Thursday 7:30am - 5:00pm (36-hour work week)
  • Daily 30-minute lunch break

From $26.28 per hour
