Duties Greet visitors, clients, and staff with professionalism and enthusiasm, ensuring they feel welcomed and valued Answer multi-line phone systems promptly and courteously, directing calls efficiently using proper phone etiquette Manage appointment scheduling and calendar coordination using tools like Google Workspace or Microsoft Office Perform data entry, filing, and document proofreading to maintain accurate records and support office workflows Handle incoming and outgoing correspondence, including emails and mail distribution Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and organizing files Assist with clerical duties including typing reports, supporting customer service inquiries, and providing customer support Requirements Proven experience in office management or administrative roles, preferably in a medical or dental setting such as a receptionist or personal assistant role Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Bilingual abilities are highly desirable to serve diverse client needs effectively Experience with multi-line phone systems, calendar management, and office procedures is preferred Demonstrated customer service skills with a friendly demeanor and professional phone etiquette Clerical experience including filing, proofreading, and document handling is essential Knowledge of bookkeeping processes such as basic bookkeeping or QuickBooks is a plus Ability to manage time effectively while prioritizing tasks to ensure smooth front desk operations Join us as a Front Desk Associate to be the first point of contact for our organization!
