Job Overview We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. Responsibilities Greet visitors and clients warmly, providing exceptional customer service and ensuring they feel welcomed. Manage multi-line phone systems, answer inquiries promptly, and direct calls to appropriate departments or personnel. Handle scheduling tasks such as calendar management and appointment setting with precision and professionalism. Maintain organized filing systems, perform data entry, and ensure accurate record-keeping using tools like Microsoft Office, Google Workspace, and other office management software. Support office management duties including supply inventory, basic bookkeeping with QuickBooks, and clerical tasks such as proofreading documents and preparing correspondence. Assist with administrative support tasks such as copying, scanning, faxing, and managing incoming/outgoing mail. Ensure smooth day-to-day operations by demonstrating excellent phone etiquette, time management skills, and organizational abilities. Requirements Proven experience in office administration or clerical roles, preferably as a receptionist or in customer support. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills. Excellent organizational skills with keen attention to detail and accuracy in proofreading and filing. Ability to handle multi-line phone systems efficiently while maintaining professionalism and courtesy. Bilingual abilities are highly desirable to serve diverse client needs effectively. Prior experience with office management tools such as QuickBooks or bookkeeping is a plus. Demonstrated customer service excellence with strong phone etiquette and interpersonal skills. Experience working in medical or dental reception is advantageous but not required; relevant personal assistant experience is also valued. Strong time management skills with the ability to prioritize tasks effectively in a fast-paced environment.
