Job Description

Overview We are seeking an energetic and highly organized Front Desk Coordinator to be the welcoming face of our office. This vital role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily activities. The ideal candidate will demonstrate excellent communication skills, a positive attitude, and the ability to handle multiple responsibilities efficiently. Responsibilities Greet visitors, clients, and vendors with professionalism and warmth, creating a positive first impression. Manage multi-line phone systems, screen calls, and direct inquiries to appropriate team members promptly. Handle incoming and outgoing correspondence, including emails, mailings, and packages. Maintain the front desk area in a neat and organized manner, ensuring all supplies are stocked and accessible. Schedule appointments, manage calendars, and coordinate meetings for staff and executives. Support office management tasks such as data entry, filing, proofreading documents, and maintaining records. Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to perform administrative duties efficiently. Assist with bookkeeping tasks using QuickBooks or similar software when needed. Provide customer support by addressing inquiries professionally via phone or in person while maintaining excellent phone etiquette. Support clerical functions such as typing reports, organizing files, and managing office supplies inventory. Qualifications Proven experience in office management or administrative support roles; previous front desk or receptionist experience preferred. Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Exceptional customer service skills with a friendly demeanor and professional phone etiquette. Bilingual abilities are a plus to assist diverse client needs effectively. Experience with multi-line phone systems, calendar management, and appointment scheduling is highly desirable. Knowledge of clerical tasks such as proofreading, filing systems, and document management is essential. Ability to handle sensitive information discreetly while demonstrating strong time management skills. Previous experience in medical or dental receptionist roles is advantageous but not required; relevant personal assistant experience is also valued.
