In this role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your organizational skills and professional demeanor will ensure smooth office operations while creating a positive first impression. The top candidate will possess the ability to carry out tasks with accuracy and efficiency, maintain effective communication with office and field staff, and identify and address challenges proactively.
Duties Front desk duties:
answering phones, greeting vendors/visitors Process daily mail and checks received Take and enter daily production reports Filing Mail out weekly vendor invoice payments Manage office supply inventory and place new orders when needed Create and manage Division Orders Produce and file federal Department of Energy report monthly Perform monthly production audits Maintain holiday and attendance schedules Create monthly production spreadsheets using Excel, including the use of formulas Manage and maintain records - licensing and maintenance - for all company vehicles Maintain Certificate of Insurance files, including gathering COIs for each annual insurance audit Prepare applicable Safety material provided by our carrier to be distributed to field personnel Produce and maintain monthly gas production reports Maintain a detailed returned mail log Manage the Drug and Alcohol testing program Mail out monthly checks and statements Mail out yearly 1099s Requirements Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and data entry skills Experience with multi-line phone systems and excellent phone etiquette Strong time management skills with the ability to prioritize tasks efficiently Associate Degree or higherPay:
