Our mission is to help our neighbors in Federal Hill, Olneyville, and the surrounding community thrive at every stage of life. FHH's programs include early childhood education, youth development, family support services, food access, free tax preparation, senior services, and volunteer opportunities that strengthen our community across generations. Position Overview Federal Hill House is seeking a friendly, organized, and community-oriented professional to serve as our Bilingual Receptionist / Administrative Assistant. This individual will create a welcoming and positive experience for everyone who visits, calls, or otherwise interacts with our agency. The ideal candidate enjoys helping people, managing multiple responsibilities, and supporting a fast-paced nonprofit environment. This role provides administrative support to agency leadership and serves as an important source of information and referrals for community members seeking FHH programs and services. This is a year-round, in-person position based at Federal Hill House in Providence, RI, with increased front desk and phone support responsibilities during tax season for the Volunteer Income Tax Assistance (VITA) program. Essential Duties & ResponsibilitiesFront Desk Operations Maintain the upkeep, safety, security, and appearance of the front desk, reception area, and common areas Create a welcoming, friendly, and professional environment for all visitors, participants, staff, and partners Monitor and track all visitors, volunteers, and guests entering the building Answer and direct phone calls, take messages, and assist callers with questions Provide quality customer service and information regarding Federal Hill House programs, policies, and enrollment Provide internal and external referrals for services as appropriate Support Early Learning Center arrival and dismissal procedures as needed Administrative Support Support the business office and Executive Director with administrative tasks and special projects Order office and program supplies, track deliveries, and distribute materials to appropriate departments Prepare mailings and assist with agency communications Enter and review program enrollment, attendance, and other data for accuracy Enter donations into the agency database and prepare acknowledgements as requested Maintain organized files and records Support general office operations and other administrative duties as assigned Enrollment & Program Support Support enrollment for families and individuals across agency programs, including follow-up phone calls and data entry Respond to high volumes of inquiry calls during tax season (mid-January through mid-April) Schedule VITA appointments and communicate required documentation and program information to participants Additional Responsibilities Assist with planning, preparation, and support for agency events and community activities Walk through the building at closing to ensure spaces are secure and prepared for cleaning staff Communicate facility or safety concerns to leadership as needed Serve as backup support for catering deliveries for childcare and senior center programs Occasionally assist with light kitchen or common area cleanup if needed Qualifications High school diploma required; Associate degree, Bachelor's degree, or active pursuit of higher education preferred Bilingual English/Spanish required Excellent customer service and interpersonal communication skills Ability to create a welcoming and positive environment for diverse community members Friendly, respectful, and professional approach to interactions with colleagues, participants, and guests Strong organizational skills and attention to detail Ability to manage repetitive tasks while responding professionally to frequent interruptions and changing priorities Ability to work independently, prioritize tasks efficiently, and take initiative when needed Respect for confidentiality and professionalism Comfortable working with children, families, seniors, volunteers, and community partners Proficiency with general office technology including phones, computers, printers/copiers, Microsoft Office, Google Workspace, and data entry systems Ability to sit or stand for extended periods of time Experience working in a nonprofit or community-based organization preferred Work Environment All work is conducted onsite at Federal Hill House and may include both indoor and outdoor activities depending on agency needs and events. Schedule & Compensation This is a full-time position scheduled Monday through Friday from 9:00 a.m. to 5:00 p.m., with a one-hour unpaid lunch break.
Compensation range:
$19-$21/hour , depending on experience and qualifications. Federal Hill House offers paid holidays, vacation time, sick time, and a supportive, mission-driven work environment.
